General Summary:
Responsible for having a thorough knowledge of the daily events and activities throughout the community and serving as the “hub” of communication for the entire community with the sole aim of assisting residents, visitors and vendors.
Accountabilities:
Essential Job Duties:
- Assist residents in reservations for activities, transportation and guest room requests, as well as work orders.
- Attends in-service training and education sessions, as assigned.
- Complete daily check-in and report to ensure residents safety.
- Familiarity with emergency procedures and may be required to assist with evacuations.
- Maintain orderly appearance of lobby/vestibule areas
- Proofread documents, as requested.
- Provide job applications to job applicants in accordance to policy in addition to marketing packets to prospects and ensure an information sheet is collected in exchange.
- Receive packages, log all items, and notify recipients in accordance to policy;
- Respects and maintains resident confidentiality according to BayWoods Confidentiality policy.
- Responsible for all incoming phone calls, transferring calls to proper departments, greeting and guiding all visitors, contractors, vendors, family members and residents per BayWoods policy and procedure and/or protocol.
Other Duties:
- Operate as a member of a team both within the department and across departments.
- Performs other work duties and responsibilities as assigned.
- Receive all persons who enter the Community in a courteous manner, informs, guides, directs or otherwise assists residents, visitors, staff or vendors tactfully and congenially to present the best possible image of the Community.
Qualifications:
- Ability to understand and follow instructions in English, communicates effectively, and performs simple arithmetic.
- High school degree required, college degree preferred.
- Must be able to work well and maintain a pleasant manner under pressure and/or work with a high degree of interruption.
- Must possess and exhibit a strong positive attitude toward customer service and have a genuine interest in geriatric care and uphold the philosophy of the community.
- Proficient in Publisher, Outlook, Word, and Excel.
Physical Requirements/Working Conditions:
Physical effort is minimal. Seventy-five percent (75%) of the work day is spent sitting, standing intermittently, and bending. Must be able to lift and carry up to twenty (20) pounds. Requires manual coordination to operate switchboard, computer, and other business equipment. Requires continuous mental and visual attention to diversified operations. Must be able to function efficiently despite distractions and interruptions. Communicates orally and/or in writing with residents, coworkers, families, and public.

Classification for Bloodborne Pathogens
Level 3 classification for bloodborne pathogens: No exposure to human blood or bodily fluids may be anticipated. Yearly bloodborne pathogen training is required by this facility. Hepatitis B vaccination is offered.
Critical Position:
This position is a “critical position.” This means that its functions must be performed on a daily basis to meet basic resident and/or facility needs. Employees in “critical positions” are expected to report to work in emergency situations, weather related or otherwise. Failure to report to work will be considered an unscheduled absence and may lead to disciplinary action. In emergency situations, BayWoods will attempt to provide transportation to critical staff and will make arrangements for the feeding and lodging of staff on site.
